Who we are

Nuthurst Day Care Ltd is the data controller for the information described in this policy.

This policy covers information collected through our website. If your child attends our nursery, the records we hold about them are covered separately by our data protection and confidentiality policy, which is available at the nursery on request.

What we collect, and why

When you make an enquiry

Our enquiry form is provided by Ovivio, the nursery management system we use. When you complete it, your details go directly into Ovivio and are seen by our management team.

The form collects your name, telephone number and email address, and your child's details. We use this only to respond to your enquiry, arrange a show-around and discuss whether we can offer your child a place. Our lawful basis is that this processing is necessary to take steps at your request before entering into a contract.

The form is protected by Google reCAPTCHA, which checks that submissions come from a person rather than an automated system. Google may collect device and usage information for this purpose, under Google's privacy policy. Ovivio also uses Sentry to detect technical errors in the form.

Please don't include medical details, dietary requirements or information about additional needs in the enquiry form. We'll ask about all of that properly if your child joins us, when we can handle it with the care it deserves. If you do include it, we'll act on it and then remove it from the enquiry record.

If your child doesn't join us, we delete your enquiry after 12 months.

When you apply for a job

If you email us a CV and covering letter, we use them to consider your application. Our lawful basis is that the processing is necessary to take steps at your request before entering into a contract. If we don't offer you a role, we delete your application after 6 months, unless you ask us to keep it on file.

When you visit the website

If you agree to analytics cookies, we collect information about how the site is used — which pages are visited, roughly where visitors are in the country, and what device they're on. This helps us understand whether the website is doing its job. Our lawful basis is your consent, which you give through the cookie banner and can withdraw at any time. If you don't agree, we don't collect any of it, and the website works exactly the same.

Who else sees your information

We don't sell your information, and we don't share it for anyone else's marketing.

A small number of organisations handle information on our behalf, under contracts that require them to protect it and to use it only as we instruct:

Some of these organisations are based outside the UK. Where information is transferred abroad, it is protected by the safeguards required under UK data protection law.

We may also share information where we are required to by law, or where it is necessary to protect a child. Safeguarding always comes first: if we believe a child is at risk, we will share information with the relevant agencies, and we will not always be able to seek consent before doing so.

How long we keep things

Only as long as we need to. Enquiry and recruitment retention periods are set out above. Records about children who attend the nursery are kept for the periods required by the Early Years Foundation Stage and other legal obligations, as set out in our data protection and confidentiality policy.

Keeping information safe

Enquiries reach a small number of named members of our management team and are not shared more widely. Our systems are password-protected and access is limited to staff who need it. Paper records are kept securely at the nursery.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that's wrong
  • ask us to delete information, where we don't have a good reason to keep it
  • ask us to restrict how we use it, or object to us using it
  • ask us to transfer it to someone else
  • withdraw consent at any time, where consent is our basis for using it

To do any of these, contact us using the details above. We'll respond within one month.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Children

This website is intended for parents and carers, not for children. We don't knowingly collect information directly from children through it.

Changes

If we change this policy we'll update this page and change the date at the top.
